Once seating charts are enabled for an event, a Seating Chart page appears in the main navigation of the Event Dashboard.
This page lets you view the seating chart connected to your event, see which seats have already been booked, and manually block or reopen seats when you need to control availability.
Managing seat availability is the fourth and final step in setting up reserved seating for an event.
Setting Up Seated Tickets #
The complete setup includes:
- Create and Manage Seating Charts
- Enable Seating Charts for an Event
- Create and Manage Seated Tickets
- Manage Seating Chart and Seat Availability
Open the Seating Chart #
From your Event Dashboard, click Seating Chart in the main navigation.
What appears on this page depends on whether your event uses a Booking Calendar.
Events With a Booking Calendar #
If the Booking Calendar is enabled, you will first see two filters:
- Select Date
- Select Time Slot
Select the date and time slot you want to manage. The seating chart for that specific booking period will then appear below.
Each time slot has its own seat availability. This means a seat can be booked or blocked for one time slot while remaining available for another.
Events Without a Booking Calendar #
If your event does not use a Booking Calendar, the seating chart appears directly on the page.
In this case, there is one seating chart availability record for the event itself rather than a separate one for each date or time slot.
View Booked and Available Seats #
The Seating Chart page gives you a visual overview of current seat availability.
Seats that have already been purchased appear unavailable on the chart. This allows you to quickly see which parts of the venue have already been booked and which seats are still open for sale.
The chart also reflects seats that you have manually blocked.
Block Seats From Sale #
You can manually make available seats unavailable for purchase. This can be useful if you need to reserve seats for staff, performers, special guests, accessibility needs, equipment, or other purposes.
To block seats:
- Select the seat or seats you want to make unavailable.
- The selected seats will display a crossed-out icon.
- Click Apply Changes in the top-right corner of the chart.
Once the changes are applied, those seats will no longer be available for customers to purchase.
If you are using a Booking Calendar, the seats are blocked only for the selected date and time slot. Their availability for other time slots is not affected.
Make Blocked Seats Available Again #
Seats that you manually blocked can also be reopened.
Select the blocked seats, then click Apply Changes again. The seats will return to their available state and can be purchased by customers.
This allows you to adjust seat availability at any time without changing the original seating chart design.
Seating Chart Controls #
Several controls appear in the upper-left corner of the seating chart to help you view and manage larger layouts.
Full Screen #
Click the icon with the two arrows to expand the seating chart into a larger full-screen view.
This can make it easier to work with larger venues or detailed seating layouts.
Search #
Click the magnifying glass to search within the seating chart.
Depending on how your chart is configured, you can search for information such as seat labels, row labels, categories, and other labeled objects within the chart.
Display Labels #
Click the eye icon to control which labels are displayed on the chart.
You can display:
- Seat Labels – Shows the individual label assigned to each seat, such as seat numbers.
- Row Labels – Shows the names or letters assigned to rows, such as A, B, and C.
These options can make it easier to identify specific seats while reviewing or changing availability.
Select Multiple Seats #
The pointer icon controls how seats are selected.
Click the arrow next to the pointer to choose between different selection methods:
- Individual Selection – Click seats individually to select them one at a time.
- Area Selection – Draw a rectangular area around multiple seats to select them together.
- Lasso Selection – Draw a freehand shape around a group of seats to select everything inside the selected area.
After selecting seats using any of these methods, click Apply Changes to block or reopen them.
Seat Availability With Multiple Dates and Time Slots #
If your event uses a Booking Calendar, each time slot keeps its own seating availability.
For example, suppose your event has:
- September 1 at 9:00 AM
- September 1 at 11:00 AM
- September 2 at 9:00 AM
Blocking Seat A1 for September 1 at 9:00 AM does not automatically block Seat A1 for the other time slots. You would need to manage the availability for each time slot separately.
Purchased seats work the same way. A seat purchased for one time slot can still be available for another time slot.
Seated Tickets and the Appointments Page #
If your event uses a Booking Calendar, the Appointments page also appears in your Event Dashboard.
The Appointments page shows dates, time slots, and attendee counts for regular tickets connected to the Booking Calendar.
Seated Tickets are not included in the Appointments calendar.
Reserved seating is managed separately through the Seating Chart page. To review booked seats for a specific date and time, open the Seating Chart page and select the appropriate date and time slot.
Changing the Seating Chart Connected to an Event #
The Seating Chart page always displays availability for the seating chart that is currently connected to the event.
If a different chart is connected to the event, the Seating Chart page will begin showing the new chart.
Information about seats purchased using the previous chart is not removed from existing orders. The original seat and seating chart information remains stored with those orders.
If the original seating chart is connected to the event again later, previously purchased seats associated with that chart will appear again on the Seating Chart page.
This allows existing seating information to remain connected to the orders that originally created it.
Deleting a Time Slot With Purchased Seats #
When the Booking Calendar is enabled, every time slot has its own seating chart availability.
If you delete a time slot that already has purchased seats, that time slot will no longer be available in the Date and Time Slot filters on the Seating Chart page. Because the time slot can no longer be selected, its seating chart can no longer be viewed from this page.
The existing order information is still preserved. Seat details associated with purchases from that deleted time slot remain available within the related orders.
Changing Event Dates Without a Booking Calendar #
Events without a Booking Calendar work differently.
In this setup, the seating chart is connected to the event itself, rather than to individual dates or time slots.
Because of this, changing the event’s start or end date does not create a new seating chart or reset existing seat availability. Previously booked seats will continue to appear on the same Seating Chart page after the event dates are changed.
The updated event dates will also apply to existing orders.
If customers originally received tickets showing the previous event date or time, resend their tickets after changing the event schedule so they receive an updated copy with the new event information.
