The Waitlist app lets you capture and measure demand even after tickets or time slots are sold out.
When the app is enabled, a “Join Waitlist” option automatically appears next to sold-out tickets or time slots. Visitors can fill out a contact form (and any custom fields you’ve added) to join the waitlist.
From your event dashboard, you can view all entries with customer details, including which items or time slots they’re interested in. This helps you gauge demand and, if you later reopen ticket sales or release additional time slots, you can use the waitlist to contact and notify people who expressed interest – turning potential missed sales into instant revenue.

How to Enable Waitlist #
Waitlist is available as an app in the App Marketplace. To enable it:
- Go to Add More Tools in the navigation menu of your Event Dashboard.
- Find the Waitlist app in the App Marketplace and enable it.
Once the Waitlist app is enabled, a new Waitlist section will appear in your event dashboard’s navigation panel. It includes two links:
- Waitlist – to view and manage all waitlist entries.
- Settings – to configure the app’s behavior, form fields, and integrations.
Waitlist Page #
The Waitlist page displays all the entries submitted by visitors after joining your event’s waitlist.
Item Filter #
Located in the top-left corner of the page, the Item Filter allows you to filter entries by the specific ticket, pass, donation, or addon customers joined the waitlist for.
Entries List #
Below the filter is a table that lists all waitlist entries.
- Search Field (top left) – Search entries by customer name, email, or ticket name.
- Export Button (top right) – Download all waitlist entries as an Excel file for reporting or external use.
Table Columns #
The table includes the following columns:
- Name – The name of the person who joined the waitlist.
- Added – The date and time the entry was created.
- Email – The email address of the person.
- Phone – The phone number of the person (if provided).
- Item – The name of the ticket, pass, donation, or addon that was added to the waitlist, including the quantity requested.
- Slot – If your event uses a booking calendar, this shows the date and time of the slot selected for the waitlist.
Entry Details #
Each name in the Name column is clickable. Clicking it opens a detailed view of that entry, showing:
- The same basic details as in the table.
- Any custom field responses submitted by the customer when they joined the waitlist.
Settings Page #
The Settings page of the Waitlist app lets you configure how the waitlist works and customize the form that appears for visitors. Here, you can manage where the waitlist option is available, adjust form requirements, and add custom fields to collect additional information from interested attendees.
Waitlist Availability #
This section determines where the waitlist option appears in your event.
- Apply Waitlist to Unavailable Tickets – Enable or disable the waitlist option for sold-out tickets, passes, addons, or bundles. When enabled, a “Join Waitlist” button will automatically appear for any sold-out items.
- Exclude Tickets – If the Apply Waitlist to Unavailable Tickets option is enabled, the waitlist will appear for all sold-out tickets by default. To limit where it shows, add specific tickets to the Excluded list – those tickets will not display the waitlist option.
- Apply Waitlist to Unavailable Time Slots – Enable or disable the waitlist option for sold-out time slots, available if your event has a booking calendar turned on.
Settings #
This section controls the behavior and appearance of the waitlist form.
- Make Phone Mandatory – When enabled, the phone number field becomes required for submission.
- Custom Message – Add a custom text message displayed at the top of the waitlist form. This is useful for providing additional instructions, reassurance, or your own tone of voice.
- Terms & Conditions Checkbox – By default, customers must agree to TicketsCandy’s standard Terms & Conditions before submitting the form. In this field, you can also add your own custom terms or policies to be displayed alongside the checkbox.
Add Custom Fields #
You can add custom fields to collect extra information from visitors joining the waitlist.
Add a Field #
To create a new field:
- Click the Add Field button.
- A new page will open where you can configure the field options.
Available settings:
- Field Name – The title of the field, visible to visitors on the form.
- Field Type – Choose the type of field to add:
- Single Line Text – Adds a short text input field.
- Drop-Down – Creates a dropdown menu with multiple options to select from.
- Multiple Choice Selector – Displays multiple checkboxes, allowing users to select more than one option.
- Single Choice Selector – Displays multiple radio buttons, allowing only one selection.
- Date Selector – Adds a date picker where users can choose a date from a calendar.
- Required – Makes the field mandatory to complete before submitting the form.
- Disable Field – Hides the field from the form without deleting it.
After setting up the field, click Create Field to save.
Custom Fields List #
All created fields are displayed in a table for easy management.
The table includes the following columns:
- Checkbox – Select multiple fields to enable bulk deletion.
- Field Name – The title of the field as shown on the form.
- Field Type – Displays the selected type of the field.
- Date Added – The date the field was created.
- Active – Shows Yes if the field is active or No if it’s disabled.
- Required – Shows Yes if the field is mandatory or No if it’s optional.
- Actions Button – Opens options to:
- Edit – Modify the field’s settings.
- Delete – Permanently remove the field.
